Cambrian Tree Shuts provides luxury tree hut accommodation in the United Kingdom. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Booking a stay
When you book, we collect the information needed to process and manage your reservation:
- Name
- Contact details (email, phone, address)
- Booking details (dates of stay, number of guests, special requests)
- Payment details (processed securely via Stripe)
We use this data to confirm and manage your booking, process payments and issue receipts, communicate with you before/during/after your stay, respond to enquiries, and meet legal/accounting obligations.
Card details are not stored on our servers. Transactions are processed by Stripe, in line with their Privacy Policy.
Legal basis for processing
- Contract: To process bookings and provide accommodation services.
- Legal obligation: To maintain records for tax and accounting.
- Legitimate interests: To communicate with guests and improve our services.
- Consent: For marketing communications (you can withdraw at any time).
Comments
When visitors leave comments, we collect the data shown in the comments form, plus the IP address and browser user agent to help spam detection. An anonymised hash of your email may be sent to Gravatar to check if you use it (see Automattic’s Privacy Policy). After approval, your profile picture is visible with your comment.
Media
If you upload images, avoid embedded location data (EXIF GPS). Visitors can download and extract location data from images on the site.
Cookies
If you leave a comment, you may opt in to saving your name, email and website in cookies for convenience (one year). Temporary cookies may be set when visiting or logging in to maintain session and display preferences. These contain no more personal data than necessary for site functionality. You can manage cookies in your browser settings.
Embedded content
Articles may include embedded content (e.g. videos, images, articles). Embedded content from other websites behaves as if you visited those sites directly and may collect data and use tracking per their own policies.
Who we share your data with
- Stripe – to process payments securely (Privacy Policy).
- Website hosting & email providers – to operate the site and send communications.
- Booking management tools – to manage reservations.
- Housekeeping/maintenance partners – where required to fulfil your booking.
If you request a password reset, your IP address is included in the reset email.
How long we retain your data
- Booking data: Kept as long as necessary to fulfil your booking and meet legal/accounting requirements (typically up to 7 years for tax).
- Comments: Retained indefinitely to recognise and approve follow-up comments automatically.
- User accounts (if any): Retained while the account is active.
Your rights (UK GDPR)
You can request to access, rectify, erase, restrict or object to processing of your personal data, and request data portability. We will respond within one month, as required by law.
Where we send your data
Visitor comments may be checked through an automated spam detection service. Booking and payment data may be securely transmitted to Stripe and other trusted providers.
How we protect your data
We use secure hosting, SSL encryption and access controls. Where possible data is stored in the UK/EEA. If data is transferred outside the UK/EEA, appropriate safeguards are applied in line with GDPR.
